BCR Dashboard

The BCR Dashboard is the main page of the BCR. The dashboard provides a menu that allows users to generate a variety of report types including patient specific, aggregate and adhocreports. The dashboard includes a Patient Search and VISN/ Facility search tool that allows users to look up VISN or facility names & numeric codes and search for individual veterans within a single facility to which they have access.

• Standard Reports are patient-specific reports that allow Authorized facility users to view individual patient details. Access is limited to the user's home facility.
• Aggregate Reports allow authorized facility users to view rolled-up VISN and Facility data. Access is NOT limited to home facilities or VISNs so the user may view comparable data across all VISNS and all VA facilities.

Patient Search Tool

The Patient Search Tool is located in the upper right section of the dashboard and allows the user to search for a specific patient by entering an approved patient identifier. Any portion of the patient name or SSN can be used in the search; however users will get the best results by entering the full name, the full SSN or the VA ID (Last initial of the last name plus the last 4 numbers of the SS#) of the patient. Only patients within the facility to which user has approved BCR access will be returned in the search.

Overview: Filters & Date Ranges

1. Filters
   • VISN & Station/Healthcare System: Most users will not need to select a VISN or Facility/Station as the VISN and Facility will default to the single VISN and Facility to which the user has access. Users who have access to multiple VISNs and /or Facilities must select the VISN and or Station/Healthcare System: from the drop-down list. The 3 digit code of the station/ healthcare system is shown in parentheses after the station name. Station names are the names that are listed in the CDW as the station's official name.
   • PACT Teams: Once you have selected a facility, or your default facility is displayed, the BCR allows you to limit your report to one or more PACT teams within your facility. If no selections are made the default is All PACT Teams. Please note that PACT teams that contain NO patients for the report will not show up as a choice in the PACT team box. The PACT Team filter is an OPTIONAL filter.
   • Other Optional Filters: Age/Gender/Race/Patient Name/Provider Name/Bi-Rad Code/Follow-up action and Mammogram Type are additional optional filters in many reports.
2. Date Ranges
   • Start/End Dates: The default date range for most reports is the past year. Users can change the default date range by clicking the calendar icons to select the start and end dates of the query, or entering the date in mm/dd/yyyy format.
   • Other: The 'Mammogram Due' and the 'Ordered /Pending' reports have additional complicated date ranges that will be explained in the specific sections.

Overview: Viewing and Exporting Reports

Most BCR queries will display the results of the search in a grid format.

The reports can be sorted by column in ascending or descending order by clicking on the column; this will sort it alphabetically or numerically. Clicking on the up or down arrow in the column will reverse the sort order.

Some data are displayed in the reports as hyperlinks. To view the details of that data, hover the cursor over the link. This will display the report details as a tooltip.

Reports may be exported to several different formats including Excel, Comma Separated Value (CSV), PDF, and Word.
Note: If you custom sort the report by clicking on a column header and then export the results, the custom sort order will NOT export; the data is always exported in the default sort order.

Overview: Mammogram Type

In the 'Ordered Pending' and 'Mammograms Due' reports the BCR must list future mammograms as screening or diagnostic. The following rules are used to determine mammogram type:

1. If an order exists for the mammogram, the CPT code of the order is used to determine the type of mammogram, i.e., Screening, Diagnostic or Undetermined.

2. If an order does NOT exist the following criteria is used:
   • Age < 40 : 'Diagnostic'
   • Age> 74 and Most Recent Screen Frequency < 2 Y : 'Diagnostic'
   • Any Age and Most Recent Screen Frequency < 1 Y : 'Diagnostic'
   • Any Age and last mammogram was BIRAD 3 or greater : 'Diagnostic'

Overview: Detailed Reports

Every patient has a single page detailed report that summarizes the key elements that are tracked in the BCR. This can be accessed by clicking on the details link on any report, or by searching in the Patient Search dialog and selecting the patient from the results.
